Office Administrator

Job Summary

We are seeking a highly organized, proactive, and customer-focused Office Administrator to join our team. This individual will serve as the heart of our office, ensuring smooth day-to-day operations while providing administrative support to employees and leadership.

The ideal candidate will oversee timecard management, reception duties, mail distribution, facility badge access, office supply management, and building maintenance coordination. This role also plays a key part in fostering a positive and welcoming workplace culture by supporting employees, coordinating events, and creating an engaging office environment.

A warm, approachable personality and strong problem-solving skills are essential for success in this role. Bilingual Spanish candidates are encouraged to apply.
Pay: $23.00 - $28.00 per hour

Key Responsibilities

Administrative & Office Support
  • Manage and process employee timecards, ensuring accuracy and timely submission for payroll processing.
  • Receive, sort, and distribute incoming mail and packages to the appropriate departments.
  • Maintain office files, records, and administrative documentation.
  • Monitor office expenses, supply inventory, and administrative budgets.
  • Prepare reports and provide updates to senior management regarding office operations and improvements.

Reception & Customer Service
  • Serve as the first point of contact for visitors, vendors, customers, and incoming phone calls.
  • Provide professional and friendly customer service while directing inquiries appropriately.
  • Maintain a welcoming and professional front office environment.

Facility & Building Coordination
  • Manage employee and visitor badge access while ensuring compliance with company security protocols.
  • Coordinate new hire, termination, and guest access requests.
  • Schedule and coordinate facility maintenance, repairs, and vendor services to ensure the office remains in excellent condition.
  • Maintain compliance with safety protocols, company policies, and operational standards.

Office Operations & Purchasing
  • Manage ordering and inventory of office supplies and equipment.
  • Coordinate purchases of furniture, small tools, appliances, electronics, and other office necessities.
  • Monitor vendor relationships and service agreements to ensure efficient office operations.

Meetings, Events & Communication
  • Take accurate meeting notes and distribute meeting minutes and action items as needed.
  • Plan and coordinate:
  • Team-building events
  • Customer visits
  • Supplier meetings and events
  • Internal office functions
  • Serve as a central point of contact for internal communications to promote team alignment and collaboration.

Office Culture & Employee Support
  • Act as a key support resource for employees regarding office-related questions and concerns.
  • Foster a positive, inclusive, and engaging workplace environment.
  • Support employee engagement initiatives and contribute to company culture efforts.

Qualifications
  • Previous experience in office administration, reception, executive support, or a similar role required.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to multitask and effectively prioritize responsibilities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with a customer service mindset.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Quick thinker with strong problem-solving abilities and a proactive approach to challenges.
  • Knowledge of workplace safety standards, legal requirements, and office compliance practices.

Technical Skills
  • Proficiency with Microsoft Office Suite including:
  • Word
  • Excel
  • Outlook
  • PowerPoint
  • Experience with office management software, scheduling systems, or HR/payroll systems is a plus.

Preferred Qualifications
  • Bilingual in Spanish and English preferred.
  • Experience supporting manufacturing, construction, industrial, or professional office environments is a plus.
  • Experience coordinating vendors, facilities, or office budgets preferred.
